UBUD WRITERS & READERS FESTIVAL 2011
 

Volunteering is a great way to experience the heart of the Ubud Writers and Readers Festival, contribute to the development of literature and meet new friends

 

UWRF Volunteers come from around Indonesia and the world, to contribute to every part of the event: from Audio/Video to Writer Liaison, in beautiful venues across the vibrant and cosmopolitan town of Ubud.

 

In return for working 4 x 4 hour shifts, Volunteers receive a pass to Main Venue events, a dedicated hospitality area, souvenir Festival T-shirt, lunch on work days and more. (Please note we do not provide flights, accommodation or expenses).

Once you submitted your application, your application will go into our Selection Pool. Please wait for us to contact you about a volunteer position: we hope to start confirmations during August.

Volunteer Information

“In the midst of ongoing workshops and the mass arrival of participating writers and local and foreign media were Indonesian and other volunteers from many countries ‐ distinguishable by name tags fluttering about their necks in a variety of colors ‐ who manned their stations, welcoming all. These are the members of the UWRF Volunteer Corp and the many shoulders upon which the Festival’s smooth running and thus its ultimate success rests”. (Chisato Hara, The Jakarta Post)

You too can experience being a volunteer with the UBUD WRITERS & READERS FESTIVAL. 

Volunteer Satisfaction

  • We try to look after our volunteers; give them the right information at the right time, put them in work areas they enjoy and listen to their feedback as we go along.
  • As much as possible, vols will be given their rosters and work role information in advance.
  • Vols can meet each other and their supervisors, ask questions and receive their welcome 'goodie bags' at our Orientations on 4th October.
  • Vols have their own meeting place, hospitality and problem solving centre at Volunteer Base Camp.
  • Supervisor roles are available for experienced volunteers.

 Application process:

  • Application is done online at www.ubudwritersfestival.com/volunteer. Please wait for us to contact you, as we don't send individual 'received' emails at this stage.
  • All applications go into a Selection Pool, and a limited number will be short listed. We will ask those applicants to email a small size (less than 100kb) photo of themselves.  We will notify unsuccessful applicants throughout the process.
  • We hope to start confirming placements in August.
  • We can only accept a limited number of the most appropriate volunteers for each area. When all volunteer places are filled, applications will be put on a waiting list.
  • Once your place is confirmed, we will send you a link to our Facebook Volunteeers group so you can communicate with other volunteers straight away. 

Volunteers receive:

  • a pass to the Main Venue program. (Please note that Special Events and Adult Workshops tickets need to be purchased separately)
  • a meal on working days
  • a Festival T‐shirt and goodie bag
  • Volunteer ID  and appreciation Certificate
  • hospitality, a meeting place and problem solving at Volunteer Base Camp
  • an invitation to the closing party on Sunday, 9 October 2011.

We do not provide

  • meals on non‐volunteering days
  • flights or transport to Ubud
  • accommodation or expenses
  • visa assistance or sponsorship

Supervisors are needed in most areas. Supervisorsoversee volunteers, timekeeping, provide information, collect feedback and liaise with Festival management to solve problems.
If you are an experienced Volunteer, please consider stepping up to these important roles!
Volunteer area requirements:
 All volunteers need to:

  • be punctual
  • be well presented and polite
  • take responsibility for themselves and others
  • speak English; Indonesian language is also required in some areas
  • work a minimum of 4 x 4 hour shifts over the 4 days of the event

Audio Video
familiar with:

  • setting up and operating AV equipment (sound systems, LCD screens, projectors  etc)
  • security, safe handling and storage  of equipment
  • local area knowledge an advantage

Book Launch
able to:

  • set up and manage independent events
  • liaise with writers, public, publishers and venues
  • sale and signing of books

Book Shop
experienced in:

  • merchandising books
  • customer service

Box Office and Information Centre
experienced in:

  • handling money, tickets, forms and simple reports
  • customer service and problem solving
  • rapidly gaining knowledge of the program
  • handling lost and found

(before and after Festival shifts available)

Floaters
able to:

  • take on a variety of roles at short notice
  • be flexible about time, availability
  • wait at Volunteer Basecamp until required

Media Centre
experienced with:

  • journalist reception and checking documentation
  • preparation of news releases
  • organising news conferences, interviews
  • liaison with logistics and technical support
  • monitoring and supporting official photographers and film makers

Logistics
fit and skilled in:

  • providing/moving/collecting materials and equipment for venues and events   
  • setting up festival banners, signage and promotional materials
  • storage and stocktaking supplies and equipment
  • riding motorbike, driving car in Ubud conditions
  • local area knowledge an advantage

(before and after Festival shifts available)

MC
skilled in:

  • maintaining punctuality and timekeeping for sessions
  • making announcements and introductions (mainly in English; Indonesian language is an advantage)
  • scripting from background information liaising with Festival management for problem solving

Transport Assistants
able to:

  • provide information about Festival transport routes, schedules and venues
  • help public find shuttle buses and official transport cars
  • work with Transport Coordinators and official drivers (bilingual in Indonesian/English an advantage)

Venues
able to be responsible for:

  • the comfort of presenters and the public  
  • customer service (checking passes, ushering, timekeeping)
  • liaison with Audio Video, MCs and logistics staff

Volunteer Base Camp
experienced in:

  • managing and supporting volunteers
  • understanding rosters and programs
  • preparing and distributing information and forms
  • running Orientation sessions
  • hospitality and problem solving

(before and after Festival shifts available)

Writer Liaison
able to:

  • meet and greet Writers (Indonesian and international)
  • provide information and support during the event
  • facilitate and accompany Writers presenting sessions          
  • occasional interpreting and translation
  • local area knowledge an advantage
  • liaise with Festival Management, MCs, Logistics etc for problem solving

(shifts are not based on rosters, but Writers' needs. Most will work on 4th Oct)

Registration and Orientation
Tuesday October 4, 2011
All Volunteers and Supervisors MUST attend the Registration and Orientation Session for their specific work area. Sessions will be held on Tuesday October 4th at 10 am and 12noon at the Ubud Writers & Readers Festival Office at Jl. Raya Sanggingan, Ubud.

If Volunteers cannot attend to their session, they cannot volunteer!  

At these sessions volunteers:

  • register their attendance and confirm contact details
  • sign an agreement about responsibilities and confidentiality
  • receive their IDs, T‐shirt and 'goodie bag'
  • meet Festival Staff and hear an overview of the event
  • meet supervisors and other volunteers  
  • receive specific work role training  
  • have a chance to ask questions

Volunteer Satisfaction

  • Kami mencoba untuk memperhatikan relawan kami, memberikan mereka informasi yang benar di waktu yang tepat, memberikan posisi di area kerja yang mereka sukai dan mendengarkan tanggapan mereka sebagaimana kita bekerjasama.
  • Sebanyak mungkin, relawan akan diberikan informasi mengenai roster (jadwal kerja) dan peran kerja mereka jauh sebelum Festival dimulai.
  • Relawan bisa bertemu dengan relawan-relawan lain dan supervisor mereka, melakukan tanya-jawab dan mendapatkan ‘goodie bag’ pada hari Orientasi tgl 4 Oktober.
  • Relawan memiliki tempat pertemuan khusus yang nyaman dan juga sebagai tempat untuk menyelesaikan masalah di Volunteer Base Camp.
  • Peran Supervisor diberikan kepada relawan yang berpengalaman.

 Proses Aplikasi:

  • Aplikasi dilakukan secara online di

      www.ubudwritersfestival.com/volunteer.

  • Pelamar yang masuk ke dalam daftar pendek akan dimintai untuk mengirimkan foto diri mereka dalam ukuran kecil.
  • Kami akan mulai mengkonfirmasi posisi relawan di bulan Agustus.
  • Kami hanya menerima relawan yang paling tepat untuk setiap area kerja.
  • Apabila semua posisi telah penuh, aplikasi lain/baru akan dimasukkan ke dalam daftar tunggu.
  • Begitu relawan mendapat konfirmasi, kami akan mengundang mereka untuk bergabung di grup Facebook Volunteers kami sehingga mereka bisa langsung berkomunikasi dengan relawan lain. Grup ini juga bisa digunakan untuk berdiskusi tentang berbagi penginapan, perjalanan, dll dengan relawan lain.

Relawan menerima:

  • Tiket masuk untuk prograim Main Venue (mohon diperhatikan bahwa tiket Special Events dan Adult Workshops harus dibeli secara terpisah)
  • Makan saat hari kerja
  • Kaos Festival dan goodie bag
  • Kartu ID Relawan dan Sertifikat Penghargaan
  • Keramahan, tempat rapat dan penyelesaian masalah di Volunteer Base Camp
  • Undangan untuk menghadiri Pesta Penutupan hari Minggu, 9 Oktober 2011

Kami tidak menyediakan:

  • Makan saat relawan tidak ada shift dalam sehari
  • Tiket pesawat dan transportasi dari/ke Ubud
  • Akomodasi dan biaya lainnya
  • Bantuan visa atau sponsorship

* * Relawan Berpengalaman**
Supervisor dibutuhkan di kebanyakan bidang kerja. Tugas mereka adalah untuk mengarahkan relawan di masing-masing bidang kerja, waktu kerja relawan, memberikan informasi, mengumpulkan tanggapan akhir dari relawan, dan membantu Manajemen Festival untuk menyelesaikan masalah.
Apabila Anda adalah relawan berpengalaman, mohon pertimbangkan untuk mengambil posisi penting ini!

Syarat-syarat bidang kerja Relawan:
Semua relawan harus:

  • Tepat waktu
  • Rapi dan sopan
  • Bertanggung jawab atas diri mereka dan relawan lainnya
  • Berbahasa Inggris, bahasa Indonesia merupakan sebuah nilai tambah
  • Bekerja minimal 4 x 4 jam shift selama 4 hari Festival

Audio Video
Ahli dalam:

  • Mengatur dan mengoperasikan peralatan Audio Video (sound systems, LCD screens, projectors  etc)
  • Bertanggung jawab dalam masalah keamanan, berhati-hati dalam menjalankan dan menyimpan peralatan
  • Pengetahuan tentang area sekitar (Ubud) merupakan sebuah nilai tambah

Book Launch
Mampu untuk:

  • Menangani dan mengelola events mandiri
  • Bekerjasama dengan penulis, publik, penerbit, dan venues
  • Mengawasi penjualan dan penandatangan buku-buku

Book Shop
Berpengalaman dalam:

  • Mengatur segala sesuatu berhubungan dengan buku-buku
  • Keramahan dan pelayanan

 

Box Office dan Information Centre
Berpengalaman dalam:

  • Menangani keuangan, tiket, formulir, dan laporan sederhana
  • Keramahan, layanan, dan penyelesaian masalah
  • Menguasai pengetahuan tentang program dengan cepat
  • Menangani Lost and Found (barang hilang dan ditemukan)

(Bidang kerja ini memungkinkan shift sebelum dan sesudah Festival)

Children Workshops
Mampu untuk:

  • Mengatur acara
  • Membantu jalannya acara dalam masalah waktu, dll
  • Berbahasa Inggris dan Indonesia
  • Bisa menangani anak-anak
  • Membantu presenter

Floaters
Mampu untuk:

  • Menerima posisi apapun dalam waktu cepat
  • Fleksibel dalam masalah waktu dan ketersediaan
  • Berada di Volunteer Basecamp sampai dibutuhkan

Media Centre
Berpengalaman dalam:

  • Menyambut jurnalist dan memeriksa dokumentasi
  • Mempersiapkan news release
  • Mengorganisir news conference, wawancara
  • Bekerjasama dengan logistik dan membantu dalam masalah teknis
  • Memonitor dan membantu fotografer dan pembuat film resmi Festival

Logistics
fit dan ahli dalam:

  • Menyediakan/memindahkan/mengumpulkan materi dan peralatan untuk venue dan events
  • Memasang festival banner, signage, dan materi promosi lainnya
  • Mengendarai sepeda motor, mobil di kondisi jalan Ubud merupakan sebuah nilai tambah
  • Pengetahuan tentang area sekitar merupakan sebuah nilai tambah

(Bidang kerja ini memungkinkan shift sebelum dan sesudah Festival)
MC
Mampu untuk:

  • Memiliki ketepatan waktu dan jam kerja selama sesi
  • Membawa acara dan melakukan perkenalan (kebanyakan dalam bahasa Inggris, bahasa Indonesia merupakan nilai tambah).
  • Membuat skrip acara dari informasi yang diberikan.
  • Bekerjasama dengan Manajemen Festival dalam menyelesaikan masalah

Transport Assistants
Mampu untuk:

  • Menyediakan informasi mengenai rute transportasi Festival, jadwal, dan tempat
  • Membantu publik menemukan shuttle bus dan mobil transportasi resmi
  • Bekerjasama dengan Koordinator Transportasi dan pengemudi resmi (menguasai dua bahasa merupakan nilai tambah)

Venues
Mampu bertanggung jawab atas:

  • Kenyamanan presenter dan publik
  • Memberikan keramahan dan customer service (memeriksa tiket masuk, membantu peserta, ketepatan waktu)
  • Bekerjasama dengan Manajemen Festival dan departemen lainnya dalam menyelesaikan masalah

Volunteer Base Camp
Berpengalaman dalam:

  • Mengurus dan membantu relawan
  • Mengerti roster dan program
  • Mempersiapkan dan menyebarkan informasi dan formulir
  • Membantu jalannya Orientasi
  • Memberikan keramahan dan membantu menyelesaikan masalah

(Bidang kerja ini memungkinkan shift sebelum dan sesudah Festival)

Writer Liaison
Mampu untuk:

  • Bertemu dan menyambut penulis
  • Memberikan informasi dan bantuan kepada penulis selama Festival
  • Menfasilitasi dan menemani penulis saat presentasi
  • Menginterpretasikan dan menterjemahkan apabila diperlukan
  • Bekerjasama dengan Manajemen Festival, MC, Logistik dalam menyelesaikan masalah

(shifts tidak berdasarkan roster tapi berdasarkan kebutuhan penulis. Kebanyakan WL akan mulai bekerja pada 4 Oktober)

Registrasi dan Orientasi
Selasa, 4 Oktober
Semua relawan dan Supervisor HARUS menghadiri Sesi Registrasi dan Orientasi untuk bidang kerja mereka. Sesi ini akan diadakan pada hari Selasa, 4 Oktober di Kantor Ubud Writers & Readers Festival di Jl. Raya Sanggingan, Ubud.

Apabila relawan tidak bisa hadir, maka mereka tidak bisa menjadi volunteer!

Pada sesi ini, relawan akan:

  • Mendaftarkan kehadiran mereka
  • Menandatangani persetujuan mengenai tanggung jawab dan kerahasiaan
  • Menerima kartu ID, kaos, dan goodie bag
  • Bertemu staf Festival dan mendengarkan masukan dari mereka
  • Bertemu Supervisor dan relawan lainnya
  • Menerima pelatihan untuk bidang kerja tertentu
  • Kesempatan untuk bertanya-jawab
