ROLE OVERVIEW:
This position is in charge of establishing and managing communication, cooperative relations or Business-to-Business sales between the foundation and other parties, both individuals, companies and organisations. The goal that is expected to be achieved by the Partnership Coordinator is to succeed in obtaining cooperation in the form of support from cash and in-kind to support the implementation of the festival.
Responsibilities:
(1) Support fundraising implementation for Yayasan’s core programs (UFF, UWRF, UAM)
Execute Fundraising meeting, events and sponsor gathering with the sponsor team
Source sponsorship and support according based on the festival (Yayasan) target or requirement from new or existing partners, including
Source stall / vendors Participant for the Yayasan program (UFF, UWRF, UAM)
Develop sponsorship packages with relevant promotional exposure
(2) Support fundraising strategy for Yayasan’s core programs (UFF, UWRF, UAM)
Develop proposals, contracts, and invoices to secure partnership with sponsors
Send out proposals to potential partners & sponsors
Maintain communication and liaise with sponsors, providing them with any information
Create and maintain a sponsor database.
(3) Support Festival’s execution
Ensuring the delivery of commitment from and to Partners before and throughout the Festival
Support Festival documentation e.g. finance, photo archives
Support development and documentation after Festival, ie. Photos, finance etc
Suggest new ideas in securing partners & sponsors
Work with the cross-division team member (e.g. Program, Production, Marketing) in ensuring the highest quality output to support the Festival
Ensure the coverage of Major Sponsors and Partners in international and domestic media.
REQUIREMENTS:
Excellent communication skills in Indonesian and English: written and verbally, especially since this work will require a lot of communication with external parties
Relevant experience in Business-to-Business sales is not a must, but having some client-facing work experience and interest in managing partner/client are preferable
Highly-motivated, curious, and open to learn about new items
Independent and creative thinker
Highly independent in execution, but understand when to raise questions and ask for support
Working arrangement: willing to be based in Ubud or at least work from our Headquarter in Ubud

Media Relations Coordinator

ROLE OVERVIEW
In this role, you will be reporting directly to the Head of Marketing & Communications. The Media Relations Coordinator’s job is to implement the Ubud Writers & Readers Festival (UWRF) and Ubud Food Festival (UFF) overall media, and public relations strategy. As well as executing the necessary national and international social media strategies to increase outreach to promote the event and generate favourable coverage surrounding both programs for 2023.
KEY RESPONSIBILITIES
Work with the Head & Marketing Communications to create and execute impactful public relations strategies for both festivals – UWRF and UFF.
Write press releases, invitations, and announcements for the lead up to both festivals. Also, help organise any press conferences, and other special events as needed.
Create strong media partnerships, which works to the mutual benefit of both parties with key national and international media owners.
Pitch both festival programs and events to press contacts for print, online, and TV/radio both internationally and nationally.
Assist with website, newsletter and social media copywriting and proofing.
Facilitate all on-site press coverage at both festival events. For example, managing press access, overseeing press conferences, and setting up interviews.
Coordinate the schedules of the photographers, and video capture teams at the year-round programs and during the festivals.
Support the Head of Marketing & Communications to manage the Media Centre volunteers during the festivals, including schedules and assignments.
Design and develop tools to deliver materials, track coverage, and compile accurate statistics regarding publicity performance.
Support the Head of Marketing & Communications in maintenance of the department’s editorial calendars, and social media needs.
Manage and update press contact information in the database.
ESSENTIALS
Two to three years’ experience in a similar position is strongly encouraged, preferably in a festival-related environment.
Excellent writing, editing, and proofreading English and Indonesian skills.
Attention to detail, strong diplomatic skills, professional, ability to multitask, working well under pressure, and being able to prioritise responsibilities well.
Open to working off-business hours occasionally as needed, especially around both festivals’ schedule of events.
Adept at anticipating problems before they arise, and juggling multiple priorities at once.
Comfortable working in a dynamic small office environment.
Ability to multitask in a demanding environment, and able to meet deadlines.
DESIRABLE
Familiar/previous history in the festival industry

Ubud Food Festival Program Coordinator

JOB OVERVIEW This position is responsible for ensuring all the Ubud Food Festival’s programs (including the pre-event) are organized and managed properly. This includes the program administration, deadlines, and communicating with all the speakers. The Program Coordinator also assists the Programming Team with communicating with the other departments. They are also the main communication line for the other departments related to the festival program.
RESPONSIBILITIES
Program Development
Research potential presenters, any current food trends, and brainstorm ideas with the Festival Director and Head of Programming
Arrange the program schedule, develop the program content, and budget expenses per program
Sending out invitations to speakers and following up where necessary
Connect and creating program with venue partners around Ubud
Developing or collect menu, receipt and content program with chef and speaker
Program Administration & Logistic
Liaise with all speakers/chef/participants, making sure they provide information regarding administration requirements, program content, program schedule, etc.
Collect the speaker’s administration requirements: agreement, bio, photos, Passport/ID, flight schedule where necessary.
Collect chefs’ recipes and list of ingredients for each program session and liaise with the production team for the logistics.
Purchase the necessary ingredients
Manage all speaker requirements for their sessions.
Actively assist the team working on the Ubud Food Festival pre-events, such as partnership gatherings.
Send thank you letters and survey forms to all speakers the week after the festival.
Provide a program report to the Festival Manager, two weeks after the festival.
Adhere to festival’s strict timeline.
Any other duties/tasks that may be later developed by the Festival Director.
